The calculator adds the time you spend on each call to the time you estimate it takes to get back into the task, then scales it up to a week and a year. Call time and refocus time are shown separately.
- Interruption minutes per dayCalls per day × (call minutes + refocus minutes)
- Hours per weekMinutes per day × working days per week ÷ 60
- Hours per yearHours per week × working weeks
- Working days equivalentHours per year ÷ your workday hours
- Optional scenario valueHours × the hourly value you entered
The dollar figure values those hours at the rate you enter. It is not money you have necessarily lost or could earn back.
Worked example
A sole-trader electrician takes about 8 business calls a day while on jobs. Each call takes about 4 minutes, and it takes about 5 minutes to get properly back into the work. They work 5 days a week, 48 weeks a year, 8-hour days, and use their $95 charge-out rate as the hourly value.
| Calls a day | 8 |
|---|---|
| Minutes per call | 4 |
| Refocus time | 5 minutes |
| Days a week | 5 |
| Working weeks | 48 |
| Workday | 8 hours |
| Hourly value | $95 |
| Call handling a year | 128 hours |
|---|---|
| Refocus time a year | 160 hours |
| Combined a year | 288 hours |
| Working days equivalent | 36 days |
| Productive-time capacity | $27,360 a year |
Much of the call time is useful work. The refocus hours are the part that better call handling or batching might reduce.
Assumptions
- Calls can win work and look after customers. Call time is not treated as wasted. It's shown separately so you can judge it yourself.
- Refocus time is optional and starts from no hidden assumption. Choose 0 if an interruption ends when the call ends, or enter the time that applies to you.
- Only business calls that interrupt your work are counted.
- Working days and weeks default to 5 and 48, and a workday to 8 hours. Change them to match how you work.
- The optional hourly value can be your usual charge-out rate. The result represents potential billable capacity, not guaranteed revenue or profit.
- Results use averages and don't predict what you'd earn if interruptions were reduced.
This calculator gives an estimate of time based only on the figures you enter. Any dollar figure is scenario value, not lost income, profit or a prediction. It is a practical guide, not financial advice.
FAQ
Phone Interruptions questions. Answered.
Are phone calls wasted time?
No. Calls often bring in work and keep customers informed. This calculator shows the time they take, separating the call itself from the time needed to get back on task, so you can decide what's worth changing.
How long does it take to refocus after an interruption?
It depends on you, the task and the call. Getting back into a simple job may be quick; detailed work can take longer. Use your own honest estimate, and try a couple of figures to see the range.
Is the dollar figure money I'm losing?
No. It is the combined hours multiplied by the hourly value you chose. Calls can be useful work, and reducing interruptions does not guarantee extra income.
What hourly value should I use?
Whatever is useful to you: your charge-out rate, what your time costs the business, or another figure. You can also leave it blank for a time-only result.
Why ask how long my workday is?
It's used to turn the yearly hours into an equivalent number of working days. It starts at 8 hours so nothing is assumed silently. Change it to match your day.
How can I reduce phone interruptions?
Batch non-urgent callbacks where it suits, use voicemail or SMS to acknowledge callers, protect focused work periods, and have a reliable way to handle calls while you're hands-on.
